Board Members' Roles and Responsibilities 

President

The President shall be the chief executive officer of the Fund.  The President shall:
  • preside over all monthly board meetings and the annual meeting of the Fund,
  • in general, supervise and control all of the business and affairs of the Fund,
  • be responsible for reporting to the Foundation, as required, on the activities and operation of the Fund, 
  • attend meetings of the SRVEF Affiliates and report back to the board where necessary,
  • be an ex-officio member of all committees except the nomination committee.
  • be a co-signer on all authorizations for payment with the Treasurer
  • report to PTA Association meetings on activities of the Fund
 

Vice-President

 The Vice-President shall:
  • in the absence of the President, or in the event of his/her inability or refusal to act, perform the duties of the President, and when so acting, shall have all the powers of and be subject to all the restrictions of the President. 
  • perform such other duties from time to time as may be assigned to him/her by the President or the Board of Directors.
  • be a co-signer on all authorizations for payment with the Treasurer
 

Treasurer 

The Treasurer shall:
  • have charge and custody of, and be responsible for, all incoming and outgoing funds and securities of the Fund,
  • be responsible for providing the Foundation with all financial and accounting data required of the Fund. 
  • Report to the board on final registration figures and amounts to be disbursed to QRES for school donations
  • Keep such permanent books of account and records as shall be sufficient to establish the items of gross income, receipts and disbursements of the Fund, including specifically the number of members and the donations collected from the members.
  • Prepare all authorizations for payment and forward to the President, Vice President, or Secretary for co-signature
  • Present a treasurer report at every meeting of the Fund and at other times when requested by the Fund
  • work with the Tax Advisor to ensure the preparation and timely submission of all tax-related documents.
 

Financial Secretary

The Financial Secretary shall:
  • work with the Treasurer to ensure monthly statements are accurate, signing all reconciliation reports
  • receive copies of monthly bank and account statements, mailed directly from the bank, for review
  • sign the annual audit of the Fund and provide the signed copy to the Secretary for the permanent record
  • deposit all cash and checks received from events to the bank and provide deposit slip to the Treasurer for recording
 

Secretary 

The Secretary shall:
  • keep the minutes of the annual meeting and meetings of the Board of Directors,
  • see that all notices are duly given in accordance with the provisions of the Bylaws,
  • be a co-signer on all authorizations for payment with the Treasurer
  • be the custodian of the Fund's records, and
  • in general, perform all duties incident to the office of Secretary. 
 

Principal

The Principal will represent the staff and give advice of what type of funding/programs is the most beneficial to the students of Quail Run Elementary School.  In addition, the Principal will help set the Fund’s calendar for the year to avoid conflicts and will build teamwork between the Fund’s fundraisers and the school community.
 

Teacher Representative

The Teacher Representative will represent the Quail Run staff at the Fund’s meetings and take current Fund topics and details back to the staff.  In return, the Teacher Representative will provide feedback to and from the staff regarding the Fund’s matters.
 

PTA Representative

The PTA Representative will communicate to the Fund the PTA activities and strategies when appropriate to ensure both organizations are in constant communication.  The PTA Representative will attend all monthly meetings of the board and also attend all PTA board meetings on behalf of the Fund.
 

Site Council Representative

The Site Council Representative will communicate to the Fund any Site Council funding issues and activities when appropriate.  S/he will ensure that both teams are in constant communication to ensure the best is being offered in terms of services and funding to the children of Quail Run Elementary.
 

Matching Fund Chair(s)

The Matching Fund Chair(s) will:
  • be the administrative arm between companies that match donations made by Quail Run parents
  • complete all paperwork to confirm matching fund requests and track responses
  • confirm with Quail Run parents when matching fund donations have been received by the Fund
  • communicate frequently to the Quail Run community the option for matching funds not only at registration but throughout the year
  • prepare paperwork for registration, and work registration walk-through
  • work from home throughout the year to communicate with companies and parents that are involved with matching funds
  • report to the Board as and when requested
  • attend meetings of the SRVEF Affiliates when discussions center around matching funds
